Thank you for choosing to travel with Tour Tribe Ltd. These Terms & Conditions form the agreement between you (the “Traveller”) and us (“Tour Tribe Ltd”, “we”, “our”, “us”). By booking with us, you confirm that you have read, understood and agree to the following.
Booking, Deposit and Payments
- A £100 deposit (unless stated otherwise secures your place. This is non-refundable and non-transferable.
- The remaining balance must be paid in full no later than 8 weeks (56 days) before departure.
- For bookings made within 8 weeks (56 days) of departure, the full balance is due at the time of booking.
- If payments are not made on time, we may treat your booking as cancelled.
Mandatory Travel Insurance
- It is a condition of travel with Tour Tribe Ltd that you hold valid and comprehensive travel insurance from the time of booking until the end of your trip.
- Your policy must cover at least:
- cancellation and curtailment;
- emergency medical treatment and repatriation;
- personal liability;
- loss of luggage and personal belongings.
- Proof of insurance may be requested before travel. Failure to provide adequate cover may result in cancellation without refund.
Cancellations, Transfers and Refunds
If you cancel:
- More than 56 days before departure (more than 8 weeks): deposit retained.
- 55–28 days before departure (8 to 4 weeks, inclusive): 50% of the total trip cost is payable.
- 21–27 days before departure (just under 4 weeks): 75% of the total trip cost is payable.
- 20 days or fewer before departure (under 3 weeks): 100% of the total trip cost is payable.
- After the trip has started: no refunds or credits are available.
Transfers:
- Bookings cannot be transferred to another date.
- You may transfer your place to another traveller if they meet the trip requirements and you notify us in writing at least 7 days before departure.
- It is your responsibility to find the substitute traveller and ensure they provide all required information and documentation.
- If your booking includes a twin/shared room, the substitute traveller must be of the same gender.
- Any administration costs relating to the transfer are your responsibility.
If we cancel:
- All tours are subject to a minimum number of travellers. If this minimum is not met, we may cancel the trip.
- We will notify you no later than 30 days before departure. If the group fills sooner and is confirmed earlier, we will notify you then.
- You will receive a full refund of all monies paid if the tour is cancelled.
- We may also cancel due to safety concerns or other unavoidable reasons. In these cases, you will also receive a full refund of monies paid. This is our maximum liability.
- Pre-Trip Essentials
Entry Requirements
- You are responsible for ensuring you meet all entry requirements for your destination, including passport validity, visas, vaccinations and health checks.
- Most countries require your passport to be valid for at least six months beyond the final date of your trip. You must check and comply with the rules that apply to your nationality and destination.
- You are responsible for obtaining any visas. We may provide general guidance, but it remains your duty to check official requirements and secure your visa in good time.
- Tour Tribe Ltd is not liable for denied boarding, refused entry, or any costs arising from insufficient passport validity, missing documents, or incorrect visas.
Health, Fitness and Medical Conditions
- By booking, you confirm that you are fit and well enough to participate and have an average level of fitness suitable for the chosen tour.
- If you have any medical condition or disability that may affect your participation, you must confidentially inform us at the time of booking (or as soon as possible thereafter). We reserve the right to refuse participation if we reasonably believe the trip is unsuitable.
- Our tours are not suitable for those with significantly reduced mobility unless travelling with a carer. Even then you must check with us first and large parts of the trip may not be suitable for you.
- Tour Tribe Ltd is not medically qualified and does not provide medical advice.
- You are solely responsible for assessing your medical fitness and suitability to participate in the tour and in any optional activities or excursions, whether included in the itinerary or offered locally during the trip.
Special Diet
- If you have any special dietary requirements, food allergies, intolerances, or religious or medical dietary needs, you must notify Tour Tribe Ltd at the time of booking or as soon as reasonably possible thereafter, but in any event no later than two weeks prior to departure and before booking your flights. Requests notified after this time may not be accommodated.
- Where dietary requirements are notified within the required timeframe, we will use reasonable endeavours to pass the relevant information to our suppliers involved in the provision of meals during your trip. However, special dietary requirements cannot be guaranteed.
- Tour Tribe Ltd does not prepare food directly and does not control food preparation facilities. Meals are provided by independent third-party suppliers. Accordingly, we cannot guarantee that specific dietary requirements will be met in full or that there will be no risk of cross-contamination.
- By booking, you acknowledge that food preparation standards may differ from those in the UK and that Tour Tribe Ltd cannot accept liability for any adverse reactions, illness, or failure to meet specific dietary requirements, provided that reasonable efforts have been made to communicate your requirements to our suppliers.
- Travellers with severe allergies or medical dietary needs are responsible for assessing the suitability of the trip for their personal circumstances and are strongly advised to take appropriate precautions, including carrying any necessary medication.
- If you have any medical condition, are pregnant, are taking medication, or have any concerns about your ability to safely participate, you must seek advice from a qualified medical professional before taking part. Any decision to participate in optional activities is made entirely at your own discretion and risk.
- Medical suitability for the tour or for any optional activity is not the responsibility of Tour Tribe Ltd, and we accept no liability for medical issues arising from participation, except where such liability cannot lawfully be excluded under UK law.
Vaccinations and Immunisations
- It is your responsibility to check the latest health and vaccination requirements for your destination (e.g., with your GP or the NHS Fit for Travel website).
- Tour Tribe Ltd is not responsible for advising on or arranging vaccinations.
Your Trip Experience
Group Size
- Final group sizes may vary and are stated on each itinerary. Smaller groups allow more personalised experiences, though may not suit everyone.
Itinerary Flexibility
- Our itineraries are intended as a guide. Adjustments may be made due to weather, closures, health and safety, or other factors. Any changes will always be made with the group’s best interests in mind.
Accommodation, Transport and Named Facilities
- Where accommodation, trains, cruises, vessels, or other facilities are referred to by name, category, or class within itineraries, booking confirmations, or other materials, this information is provided for identification purposes only.
- It is your responsibility to satisfy yourself as to the suitability, condition, layout, facilities, and general standard of any named accommodation, train, cruise, or other facility. Tour Tribe Ltd is not responsible for providing photographs, videos, or other visual material to evidence the condition, appearance, or quality of such facilities.
- We will provide the name and category or class (for example, hotel rating or train category) as applicable. Beyond this, you are expected to carry out your own independent research to determine whether the accommodation or transport meets your personal expectations or requirements.
- Standards, maintenance, appearance, and facilities may vary by destination and are subject to local norms, operational constraints, refurbishment schedules, and third-party management. Tour Tribe Ltd does not control these factors and accepts no responsibility for differences between expectations formed through independent research and the actual facilities provided, provided that the services supplied correspond with the category and description stated.
- Nothing in this clause limits or excludes Tour Tribe Ltd’s obligations under UK law to provide services with reasonable skill and care or to supply the package as described.
Opening Tours
- Certain trips operated by Tour Tribe Ltd may be designated as “Opening Tours” (also referred to as pilot or inaugural trips). These are tours to destinations where Tour Tribe Ltd is operating for the first time, often for the purpose of assessing suppliers, logistics, routes, accommodation, and overall suitability for future tours.
- You acknowledge and agree that, by their nature, Opening Tours may involve a higher degree of operational uncertainty than established tours. Despite careful planning and reasonable due diligence, adjustments, delays, changes, or unforeseen issues are more likely to arise on an Opening Tour.
- Opening Tours are typically offered at a reduced price compared to future tours to the same destination, reflecting their pilot nature and the fact that itineraries, suppliers, and logistics are still being refined.
- By booking an Opening Tour, you agree that: you are participating with an understanding of the exploratory nature of the trip; minor issues, changes, or imperfections may occur; and you will act reasonably and in good faith if adjustments are required.
- Tour Tribe Ltd will always use reasonable skill and care in the delivery of an Opening Tour and will comply with its obligations under UK law. However, except where required by law, no additional compensation, refunds, price reductions, or reimbursement of incidental or consequential costs (including alternative accommodation, transport, meals, or activities arranged independently) will be payable in respect of issues arising from the pilot nature of the tour.
- Nothing in this clause limits or excludes Tour Tribe Ltd’s liability where such limitation or exclusion would be unlawful, including liability for death or personal injury caused by negligence or any rights you may have under the Package Travel and Linked Travel Arrangements Regulations 2018.
Rooming Arrangements
- Solo travellers booking a shared/twin room will be paired with another traveller of the same gender, where possible.
- If a same-gender match is not available, you may need to upgrade to a single room at extra cost.
- On rare occasions, it may be necessary to change the advertised accommodation due to circumstances beyond our control (e.g., overbooking, closure, safety concerns). If this happens, we will provide alternative accommodation of a similar or higher standard at no extra cost.
- Where you book a shared or twin room, Tour Tribe Ltd will use reasonable efforts to allocate a suitable roommate, typically of the same gender and with similar booking requirements. However, compatibility between roommates cannot be guaranteed.
- If difficulties arise between roommates during the trip, Tour Tribe Ltd is not responsible for resolving personal disputes or for any dissatisfaction arising from shared accommodation arrangements.
- Where alternative accommodation is available and you request to move to a single room or separate accommodation, any additional costs incurred will be your responsibility, including any applicable single room supplement or price difference. No refunds or compensation will be provided in respect of shared accommodation that has been used or allocated in accordance with the booking.
- By booking a shared room, you acknowledge and accept the inherent nature of shared accommodation and agree to act reasonably and respectfully towards your allocated roommate.
Standards and Descriptions (Deluxe/VIP)
- Where any accommodation, transport, service, or experience is described as “deluxe”, “VIP”, “premium”, or similar, such descriptions are based on local standards and classifications applicable in the destination country, and not UK standards or expectations.
- Standards, facilities, service levels, and interpretations of such terms may vary significantly between countries. By booking, you acknowledge and accept that local grading systems, cultural norms, and service practices apply, and that comparisons with UK standards may not be appropriate.
Flights
- Flights are not included. You are responsible for arranging your own flights and travel to the trip start point.
- ⚠️ Do not book flights until you receive written confirmation from Tour Tribe Ltd that your trip is guaranteed to run.
- We may suggest suitable flights from your departure airport for your convenience. These are suggestions only provided in good faith.
- You are not required to travel on suggested flights. You may book alternatives provided you first check suitability with us before booking.
- Airport transfers are included for the suggested flights. If you arrive on a different flight, we will try to accommodate your transfer, but an extra transfer fee may apply.
- We have no obligation to share other travellers’ flight details with you.
- As we do not sell flights, our packages are not ATOL-protected. Flights booked separately are outside our responsibility.
Responsibility, Safety and Assumption of Risk
- Travel involves inherent risks. By booking, you accept that accidents, illness, injuries, delays or other unforeseen events may occur.
- All activities are undertaken at your own risk. While we and our partners take reasonable care, Tour Tribe Ltd cannot be held responsible for risks inherent to travel or adventure activities.
- Punctuality: Your guide will advise meeting times and places during the tour. If you are more than 10 minutes late, the group may continue without you. You must make your own way back to the hotel or re-join the group at your own expense. No refunds or compensation are available for missed parts of the tour due to lateness.
- Children: Children remain the sole responsibility of their parent(s)/legal guardian(s) at all times. For school groups, responsibility lies with the teacher(s)/supervising adult(s), who must ensure close supervision. Tour Tribe Ltd accepts no responsibility for children left unattended.
- Disability and Special Needs: If you have a disability or reduced mobility, you must disclose this at booking. Depending on the circumstances, you may be required to travel with a carer (friend/family member) for the duration of the trip. We cannot assume responsibility for the personal care of disabled travellers.
- Fitness to Travel: By booking, you confirm you are in good physical and mental health and have a level of fitness suitable for the itinerary.
Liability
- Tour Tribe Ltd accepts responsibility for ensuring that the package you book with us is supplied as described and that the services provided are performed with reasonable skill and care.
- We are not liable for any injury, illness, damage, loss, expense, or other claim of any description which results from:
- your own acts or omissions;
- the acts or omissions of a third party not connected with the provision of your arrangements; or
- events which we could not, even with all due care, foresee or avoid.
- Our liability is limited to the arrangements we have contractually agreed to provide. We are not liable for additional services (such as flights, visas, or insurance) which you arrange independently.
- Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury caused by our negligence, or any liability which cannot lawfully be excluded under UK law.
- Photographs and Media
Media Professional & Personal and Privacy
- We may take photos or videos during trips for promotional use. In line with our Privacy Policy, faces and identifying details are blurred before sharing on social media or marketing materials.
- If you prefer not to appear in official media, please inform us in writing before the trip.
- Tour Tribe Ltd operates a privacy-focused media policy. Where photos or videos are taken during trips for official promotional or marketing purposes, we make reasonable efforts to blur faces and identifying features before any publication online or on social media platforms.
- All blurring is carried out in good faith using reasonable methods available at the time of editing. Tour Tribe Ltd cannot guarantee that blurring techniques cannot be reversed, including through the use of artificial intelligence or other technological tools operated by third parties. Any unblurring, manipulation, extraction, or misuse of images by third parties is outside our control and not our responsibility.
- We permit local guides, local partners, and suppliers to take photographs or videos of travellers for operational or trip-related purposes only. They are expressly instructed not to share, publish, or distribute such images or videos. This requirement is included within our agreements with guides, partners, and suppliers. However, despite these instructions and contractual provisions, Tour Tribe Ltd cannot guarantee that every local guide, partner, or supplier will comply fully at all times, particularly where media is captured or shared without our knowledge or authorisation.
- Tour Tribe Ltd is not responsible for photographs, videos, or other media captured, shared, or published by other travellers, local guides, partners, suppliers, or any third parties, whether shared privately or publicly and whether with or without the traveller’s consent.
- By booking, you acknowledge and accept that while Tour Tribe Ltd takes reasonable steps to protect privacy and restrict the sharing of images, absolute control over photography, video capture, and media distribution during travel cannot be guaranteed.
Changes by Us
Changes Before Departures
- We may make changes to the arrangements after your booking has been confirmed. Most changes will be minor and will not affect the overall nature or value of the package. Minor changes do not give rise to any entitlement to a refund.
- A change will only be treated as significant where, in our reasonable opinion, it materially alters an essential element of the package. Changes to accommodation within the same or higher category, adjustments to itineraries, transport timings, order of activities, or substitution of activities with comparable alternatives will not normally be regarded as significant.
- Where a change is deemed significant prior to departure, you will be notified and offered the options required under the Package Travel Regulations 2018.
Changes During Tour
- During the course of the tour, it may be necessary to make changes to itineraries, accommodation, transport, timings, or activities due to operational, safety, weather, local conditions, availability, or factors beyond our control.
- Such changes are a normal part of travel and do not automatically constitute a significant change. No refunds will be given for changes made during the tour where the overall nature, duration, and value of the package are maintained.
- Where an essential element of the package cannot be provided, we will use reasonable endeavours to offer suitable alternative arrangements of a comparable standard. Any price reduction or compensation will be limited to circumstances where there has been a demonstrable and material reduction in the value of the package, as required by the Package Travel Regulations 2018.
No refunds for unused services
- No refunds will be given for any services, activities, meals, or elements of the tour which are unused, missed, declined, or abandoned by the traveller for any reason, including illness, fatigue, personal choice, late arrival, early departure, or failure to participate.
Force Majeure / Extraordinary Circumstances
- If unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity which significantly affect the trip or transport there, either party may cancel the booking without paying cancellation fees. A full refund will be given if the trip has not yet started; no additional compensation is due.
- If such circumstances arise after the trip has begun and we are forced to terminate the package, you will be entitled to a refund only for the proportion of the trip not provided. No refund is due for services already delivered or enjoyed.
Examples include (but are not limited to):
- war or serious security problems such as terrorism or civil unrest;
- natural disasters such as earthquakes, floods, volcanic eruptions or wildfires;
- significant risks to human health such as outbreaks of serious disease or pandemics;
- severe weather conditions making it unsafe to travel;
- government travel restrictions or border closures.
- Complaints and Assistance
If you experience difficulties during your trip, please contact Tour Tribe by calling WhatsApp number +447806 982196 (or +447737347120 as second option) or our local partner immediately so we can provide prompt assistance.
Our duty of assistance includes providing information on health services, local authorities, consular support, and help in finding alternative travel arrangements. This does not mean that Tour Tribe Ltd will pay for alternative transport, flights, accommodation, or other costs. These remain your responsibility and should be covered by your mandatory travel insurance.
If you remain dissatisfied, please submit a formal written complaint within 28 days of returning from your trip.
Financial Protection
Tour Tribe Ltd is a member of Trust My Travel. All payments are protected under this scheme, ensuring that in the unlikely event of our insolvency, your funds are fully safeguarded in line with the UK Package Travel Regulations.
Pre-Contractual Information
All information required under the Package Travel and Linked Travel Arrangements Regulations 2018 will be provided to you in your booking confirmation and itinerary. This includes details of destinations, duration, transport, accommodation, meals, activities, pricing, minimum numbers, and suitability for persons with reduced mobility. Together with these Terms & Conditions, this information forms part of your contract with Tour Tribe Ltd.
Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
